Meet Volunteer Job Descriptions

Point System: Team Requirements for Volunteering are based on points. Different jobs have different point values. Each family's point requirements are based on the number of swimmers, with each family having to fulfill jobs throughout the season adding up to 12 points per swimmer.  Thus, families with 1 child need to volunteer for enough jobs to secure 12 points for the season. A family with 2 children on the team would need to sign up for jobs that earn them 24 points.  Families with 3 or more swimmers must volunteer enough to earn 26 points. 

Jobs: Jobs range in value from 2-6 points, generally depending on the amount of time involved.  Simpler, less time-consuming jobs are worth fewer points. Jobs that are more complicated, hard to fill, or that require specialized training, generally are worth more points. Most of the jobs described below occur during meets, when volunteer support is most needed. However, there are other jobs that can be performed outside of meets.  

Singing up for Jobs: Each event throughout the season will have jobs associated with it. Generally, we open jobs up for people to volunteer a week before the event.  Go to the "Schedule" section of the website and from there you can select an event and see what jobs are available.  If you register for a job, please be sure to attend. You won't be awarded points and we will have to scramble to fill the slot at the last minute.  

Job Summaries:

The following positions can be done by anyone. Please note that during a meet, our Team Reps may have an unexpected need for additional help. We thank you in advance for cheerfully helping out if you are approached!

Clerk of Course / Assistant Clerk of Course: (Three volunteers per A meet and 4 per B meet)

  • Calls swimmers from the team area to the clerk’s table.
  • Checks in the swimmers and tells them their lanes.
  • Tells the swimmers where to wait for their events.
  • Head Clerk participates in the “scratch meeting” to make substitutions.

Concessions: (Home meet only) (We need at least 2 -3 people at any time slot)

  • Arrive early to help set up
  • Sell the food and drinks for predetermined time slot
  • Costco Runs
  • Grilling
  • After the meet , clean up the concession stand and help put stock away

Ribbon Writers: (Need 1 person/meet)

  • Check to see if the winning time is an All-Star time or a team, pool or League record and provides the announcer with the information
  • Affix the ribbon labels to the ribbons
  • File the ribbons in the team ribbon box & put them in the swimmers cubbies.

Head Timer (home) /Assistant Head Timer (away): (Need 1 person/ meet)

  • Supervise timers and provides support as needed
  • Start extra watches for each race in case a timer's watch malfunctions
  • Assists meet officials in addressing problems if they arise

Timers: (Need at least 9 people/meet...18 people for time trials)

  • Make sure that the swimmer in your lane matches the name on your card.
  • Time the race, starting as instructed by the starter and stopping the watch when any part of the swimmer (or kickboard) touches the wall.
  • If you miss the start of an event, raise your hand right away to obtain an extra watch that you can use to record the finish for the swimmer in your lane.
  • Records times legibly on timer sheets. Circle the middle time (not the fastest or the slowest).
  • TIMERS WILL GET WET.
  • Long meets can be split between timers, each earning half the points.

Runner: (Home meet only) (Need 1-2 people/meet)

  • Takes the timer sheets from the Head Timer, puts them in lane order (1-6) and takes them, with any DQ cards, to the scoring table.
  • Preferable to have a second runner for the 25’s.

The jobs of Referee, Starter, and Stroke and Turn Judge require certification by the MCSL. Our thanks to those who volunteer and are certified for these positions.

To become a Certified Official, you must attend a three-hour class MCSL online training class. No experience or prior knowledge is required, but they will take attendance via Zoom. The current MCSL officials’ clinic schedule is linked below. Please up your game and volunteer for one of these critical roles.

Referee (Home Meets Only)

  • Must be MCSL certified Referee.
  • The referee runs the meet and has overall authority and control of the competition, ensuring that all the rules are followed.
  • Must be thoroughly familiar with all rules.
  • Conducts meeting with officials prior to meet. Is the final arbiter of all decisions.

Starter (Away Meets Only)

  • Must be MCSL certified Starter.
  • Operates the electronic strobe to start the race.
  • Assumes control of the swimmers from the Referee, directs them to "take your mark’ and sees that no swimmer is in motion prior to giving the start signal.

Stroke and Turn Judges (2 people /meet required)

  • Must be MCSL Certified Stroke and Turn.
  • Determine whether swimmers perform their strokes, turns, and finishes in accordance with the rules.

Automation jobs do not require special training, but can be complicated and require attention to detail. For this reason, we generally arrange for specific individuals to handle automation before the season begins and rely on those individuals throughout the year.  If you are interested in automation, contact the team representatives.

2026 Automation Lead: Allison Frayer 

Automation Area/Table (4 people total /2 home and 2 away)

Four people sit in the scoring area: the scorer (visiting team), the computer operator (home team) and two verifiers (one from each team).

1.) Scorer (Visiting Team)

  • Receives the timer sheets from the runner. They put the lane timer sheets in lane order.
  • Staples the DQ cards to the appropriate sheet, making sure the DQ card has been signed by the referee.
  • Checks that the official time has been circled. The official time is either the time of the 2 watches that agree or the middle of all 3 watches. The official time should be recorded to the hundredths place.
  • Notifies the Referee if there is not an official time recorded.
  • Reads the times to the Computer Operator.

2.) Computer Operator (Home Team)

  • Types the times into the computer and operates the program during the meet, including making the data changes from the scratch meeting.
  • Prints labels, along with the event results, for the volunteers at the awards table.
  • Produces disks for both teams and reports results to the Division Lead Automation person after the meet.

3.) Verifiers (One From Each Team)

  • Check the results printed from the computer after each event against the timer sheets to be sure the data was entered accurately.
  • Posts paper copies of the event results in a designated area, for viewing by all teams.
  • If a team or pool record is broken and there are any all-star qualifying times, an automation volunteer reports the information to the announcer so that it can be announced.
